About the Role: Payroll Specialist
The Payroll Specialist at DHL Express is responsible for the accurate and timely processing of payroll across multiple employee categories. You’ll manage Owner Operator invoices, issue fuel rates across all provinces per collective agreements, and handle daily payroll queries spanning hourly, salaried, and Owner Operator classifications. Responsibilities
The Payroll Specialist handles a broad scope of duties that span payroll processing, compliance, data management, and process improvement. Each responsibility plays a direct role in keeping DHL’s payroll operations running accurately and efficiently across Canada.
- Process bi-weekly payroll for hourly employees and Owner Operators in accordance with company policies and collective agreements
- Enter Owner Operator invoices daily and issue fuel rates for all provinces as required
- Handle daily payroll queries related to hourly, salaried, and Owner Operator classifications
- Process bi-weekly Records of Employment and update employee records in Kronos
- Support year-end activities including preparation and reconciliation of T4s, T2200s, and other statutory filings
- Manage third-party payments such as garnishments and union dues on bi-weekly, monthly, and quarterly schedules
- Conduct regular payroll audits to ensure accuracy and compliance, identifying root cause issues and recommending corrective actions
- Develop and maintain SOPs for payroll processes and prepare training materials for stakeholders
- Maintain new hire records in both Kronos and Workforce Now (WFN), including biometric access provisioning
Requirements / Skills
The ideal candidate brings a solid foundation in Canadian payroll practices and is comfortable navigating complex payroll systems under tight deadlines. DHL values individuals who combine analytical rigour with strong communication skills and a genuine commitment to accuracy and service.
- 3–5 years of payroll experience in a comparable environment
- Payroll Compliance Practitioner (PCP) certification completed or actively in progress
- Proficiency in Workforce Dimensions and Workforce Now (WFN) payroll systems
- Intermediate Excel skills including VLOOKUP, pivot tables, and IF functions, plus experience with Access software
- Strong analytical skills with a sharp eye for detail and a commitment to accuracy
- Ability to work under pressure and consistently meet tight deadlines in a fast-paced environment
- Excellent communication and customer orientation when dealing with internal stakeholders
- Team player with flexibility in working hours and a proactive, problem-solving mindset
