About the Role: Health & Safety Administrative Assistant

Day to day, you’ll be responsible for managing safety rewards, citations, inspection reports, invoices, accident cover letters, and driving records. You’ll work across multiple database systems to keep information accurate and up to date, and you’ll play a key support role in the administration of injury claims across several Canadian provinces, including Quebec, Alberta, Nova Scotia, Prince Edward Island, and Newfoundland and Labrador.

This position also involves case management and coverage for the health and safety specialist, meaning you’ll need to be adaptable and capable of handling a variety of tasks with professionalism. Given that 50% of client interactions involve colleagues outside of Quebec, strong bilingual communication skills in both French and English are essential to succeed in this role.

Responsibilities

The Health & Safety Administrative Assistant role covers a broad range of administrative and compliance-related duties. You’ll be the operational backbone of the health and safety team, ensuring that injury documentation, claims, and reporting are handled accurately and on time across multiple jurisdictions.

  • Administer injury claims across CNESST (Quebec) and provincial workers’ compensation boards in Alberta, Nova Scotia, PEI, and Newfoundland and Labrador
  • Process payments related to CNESST and other workplace safety bodies
  • Calculate and report earnings as part of injury and claims documentation
  • Manage data and reports using internal and external database systems
  • Support the G-SHRMIS database — UPS’s Global Safety, Health, and Risk Management Information System — for injury reporting
  • Prepare monthly reports for internal stakeholders and compliance purposes
  • Compile HOIR (Hours of Injury Report) documentation as required
  • Respond to general inquiries and provide administrative support on various assigned tasks
  • Provide case management coverage for the health and safety specialist as needed

Requirements / Skills
