About the Role: Contract Administrator

As a Contract Administrator, you’ll be at the front lines of financial and contractual activity — issuing and processing capital approval documents, purchase orders, progress draws, tenant allowances, and vendor invoices quickly and accurately. You’ll use various systems to record and track budgets alongside vendor invoicing, and maintain thorough project repositories from setup through closeout.

Equally important is your role as a connector. You’ll build and maintain relationships with consultants, vendors, general contractors, architects, lawyers, landlords, and internal teams including Real Estate Accounting. You’ll engage in strategic conversations across multiple levels to improve processes, drive efficiencies, and champion a one-company approach. When issues arise, you’ll take accountability — whether that means resolving problems directly or escalating appropriately.

Responsibilities

The Contract Administrator plays a hands-on role in the daily operations of Finance Shared Services, ensuring that all contractual and financial documents are handled with accuracy and timeliness. Your contributions directly support construction projects from initiation through closeout.

  • Issue and process capital approval documents, contracts, progress draws, tenant allowances, purchase orders, and invoices accurately and efficiently
  • Record and track project budgets and vendor invoicing using various internal systems
  • Maintain project repositories including file setup and project closeout documentation
  • Communicate with consultants, vendors, general contractors, architects, lawyers, landlords, and internal stakeholders as required
  • Drive process improvement opportunities across cross-functional teams and multiple stakeholder groups
  • Engage in strategic conversations at multiple organizational levels to create efficiencies aligned with a one-company directive
  • Identify problems and take accountability for resolution or appropriate escalation
  • Build internal and external relationships to uphold high standards of customer service and a positive working environment

Requirements / Skills

The ideal candidate brings a background in accounting or finance with hands-on experience supporting design and construction projects. You’re a self-starter who can balance multiple priorities, communicate clearly across departments, and adapt quickly when business needs shift.

  • University degree or college diploma in Accounting, Finance, or a related field
  • 2–3 years of experience in a supporting role within design and construction environments
  • Lucernex and/or Coupa knowledge is considered a strong asset
  • Advanced Microsoft Office skills including Excel, Word, and PowerPoint
  • Excellent organizational and problem-solving skills with a strong attention to detail
  • Effective interpersonal and communication skills with the ability to build and maintain strong relationships
  • Ability to work both independently and collaboratively in a fast-paced, ever-changing environment
