About the Role – GM Administrative Assistant
As an Administrative Assistant to the General Managers at Amazon’s Acheson Fulfillment Center, you will play a vital role in supporting daily operations through essential administrative assistance to leadership and associates alike. The ideal candidate will have proven experience working effectively in a fast-paced environment, able to handle changing priorities, while maintaining high standards of organization and efficiency.
As an Administrative Assistant, you will provide a full range of administrative support by coordinating meetings and maintaining complex calendars. Your ability to communicate clearly and anticipate the needs of the General Manager and Operations team is essential for driving the operational success of the center. You will represent the department in various initiatives and coordinate with other internal groups and vendors to uphold Amazon’s high standards.
Key Responsibilities for the GM Administrative Assistant
This will include, but is not limited to, the following responsibilities:
- Manage and process expense reports for the General Manager, Sr. Leaders, and self as required.
- Schedule maintenance, event planning, and meeting/conference coordination for Fulfillment Center staff.
- Coordinate conference room management and maintain calendar schedules.
- Perform general clerical work, including filing, office management, email responses, and document and presentation creation.
- Take meeting minutes, develop conference agendas, and assist in content development.
- Book and coordinate economic travel arrangements—airfare, hotel, and transportation for the General Manager and Senior Leaders.
- Support internal communications across multiple platforms for associates and leadership.
- Coordinate with outside vendors for the upkeep and maintenance of the Fulfillment Center.
- Run work-related errands as needed.
- Plan ahead, delegate responsibilities, and manage time effectively.
- Compile team goals, track key deliverables, and follow up on outstanding items.
- Manage complex calendars and handle scheduling with professionalism and discretion.
- Collaborate closely with Workforce Management, Recruiting, Maintenance, Human Resources, and other teams within the Fulfillment Center.
- Represent the department in team-building activities and peer recognition.
